1. Who provides koshiFlo
koshiFlo is owned and operated by DoubleStripe Ltd, a Companies House registered and VAT registered UK company. References to "koshiFlo", "we", "us" or "our" mean DoubleStripe Ltd. More information is available at doublestripe.co.uk.
2. Using the service
You may use koshiFlo only for lawful club, martial arts school, instructor, staff, student progression, attendance, grading and membership administration purposes. You are responsible for making sure authorised users keep login details secure and only access information they are permitted to see.
3. Club responsibilities
Clubs are responsible for the accuracy of information entered into koshiFlo, the decisions made using that information, and the permissions or notices needed to process student, guardian, instructor and staff data. koshiFlo supports instructor judgement; it does not replace coaching, grading, safeguarding, medical, legal or financial decisions.
4. Early access
During early access, features may change, improve, be limited, or be withdrawn as the product develops. We will use reasonable care to keep the service available, but early-access functionality is provided for evaluation and practical club feedback.
5. Prices and VAT
Published plan prices are shown in pounds sterling and include VAT where VAT is applicable, unless a page or quote clearly states otherwise. If a custom plan, invoice or written quote applies to your organisation, that document will confirm the applicable price, VAT treatment, billing period and payment terms.
6. Billing and changes
Discounted early-access use may end when koshiFlo launches paid plans. We will tell affected clubs before paid billing starts. We may change plan features, prices or limits in the future, but will give reasonable notice where a change materially affects an active customer. Early access customers will receive the discounted rate until their first payment in January 2027, after which the price returns to the standard rate.
7. Acceptable use
You must not misuse the service, attempt unauthorised access, interfere with security, upload unlawful or harmful content, reverse engineer the service, scrape data, or use koshiFlo in a way that could harm other customers, students, guardians, instructors, the platform or DoubleStripe Ltd.
8. Intellectual property
DoubleStripe Ltd owns koshiFlo, including the software, design, branding, copy and product materials. Clubs retain responsibility for and ownership of their own club records, student data and uploaded content, subject to the licence needed for us to provide the service.
9. Data protection
Use of personal data is described in our Privacy Policy. Clubs must use koshiFlo in line with applicable data protection law and their own obligations to students, guardians, instructors and staff.
10. Liability
koshiFlo is provided with reasonable skill and care. To the fullest extent permitted by law, we are not responsible for indirect loss, loss of profit, loss of goodwill, loss caused by inaccurate data entered by users, or decisions made by clubs outside the service. Nothing in these terms limits liability where the law does not allow it to be limited.
11. Ending access
You may stop using koshiFlo at any time. We may suspend or end access if these terms are breached, payment is overdue, security is at risk, or continued access would create legal, operational or reputational risk.
12. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction unless mandatory law says otherwise.
