Information we collect
We may collect account details, club and organisation details, instructor and staff details, student records, guardian contact details, attendance records, grading records, membership information, support messages, waitlist enquiries, and technical information such as device, browser, security and usage logs.
How we use information
We use information to provide the koshiFlo service, manage accounts, display student progression, support attendance and grading workflows, communicate about the service, maintain security, improve the product, meet legal obligations, and administer billing where applicable.
Student and guardian data
Martial arts clubs may enter information about students, including children, so that instructors can manage training, progression, attendance, grading and safeguarding-related contact details. Clubs are responsible for making sure they have the right permissions and notices in place for the data they add to koshiFlo.
Data controller and processor roles
For club records entered into the app, the club or organisation is normally the data controller and DoubleStripe Ltd acts as a processor providing koshiFlo. For account, billing, waitlist, website and direct support data, DoubleStripe Ltd may act as the controller.
Sharing information
We do not sell club, student or guardian information. We may share information with trusted service providers who help us host, secure, support, email, analyse or bill for the service, and with authorities where required by law.
Storage and retention
We keep information for as long as needed to provide koshiFlo, meet legal obligations, resolve disputes, maintain security, and support legitimate club records. Clubs can request export or deletion of their organisation data, subject to legal, security and backup constraints.
Your rights
Depending on your relationship with koshiFlo and applicable law, you may have rights to access, correct, erase, restrict, object to processing, or request a copy of your personal information. If your data was entered by a club, we may direct you to that club so they can handle the request as controller.
